Implementation


F&S implementation is fast and easy. An implementation manager is responsible for making sure your imaging facility is seamlessly transitioned to Franklin & Seidelmann Subspecialty Radiology interpretation services.

The success factors which lead to a smooth transition include: following a good process and gaining an understanding of the client’s workflow, IT infrastructure, modalities, and report needs upfront in order to provide the right solution; having the appropriate client staff aware of their specific roles and responsibilities; and communicating the new F&S interpretation services and radiologists’ backgrounds to the client’s staff and physician base.

The implementation process, which is usually handled remotely, can be as short as a few days or a few weeks based on the needs of the client, facility type and the specific F&S services selected. Our process is designed to accomplish a fast, efficient and easy transition with much of the discovery process

Implementation Process

Welcome Kit/Call - Upon contract signing, the client receives a Welcome Kit that includes key documents to be reviewed and will also participate in a Welcome Call with F&S to review the Implementation Process (technology and workflow), roles and responsibilities, timeline, action items and specific client needs.

IT / Workflow Assessment - F&S gains an understanding of the client’s IT infrastructure, Internet service, modalities, workflow, VPN connection and any special integration needs. Typically, all that is required is a broadband Internet connection and a VPN connectivity box to transfer images from the modality workstation to the F&S server.

Physician Licensing and Credentialing - The F&S Licensing and Credentialing department will confirm that F&S has appropriate radiologists licensed in the client’s state(s) and if not, will proceed to get the appropriate state licensure. This process can take 90-120 days. F&S radiologists combined are licensed in 50 states so there will always be interpretation capacity for new clients. The F&S staff will help the client credential the F&S radiologists. (Credentialing allows the radiologists to be added to the client’s insurance programs in order for the insurance plans to pay for procedures interpreted by the radiologist.) F&S provides the client with radiologists’ CV’s, diplomas, certificates, malpractice face sheets, current state licensure and general support services.

Report Requirements - F&S gains an understanding of any special needs required in their reports such as a header format or specific ways to interpret certain modalities in order to get optimal reimbursement, etc. It is important F&S get feedback from the clinicians on the quality of the reports after Go-Live.

RT Protocol Review - The F&S Protocol Guidelines are distributed in the Welcome Kit. F&S participates in a call with the technologist staff to inform them of how the RT team can be of help with positioning, anatomy, and MRI clearance. F&S RT staff can do on-site protocol training as needed.

Patient Registration and Image Transfer - F&S reviews the order request/patient registration and image transmission process with the dedicated Client staff responsible for these activities.

Remote Installation, Set up and Testing - F&S works with the client’s IT support person to deploy the VPN box and connect it to the modality workstation according to the appropriate configuration settings. Test images are transmitted from the modality and received at the F&S server. If any special interfaces have been developed, they will also be tested at this time.

Go Live - One the testing process is complete and the images and DICOM headers transmit correctly, the client site can officially “go live” with F&S interpretation services.

Policy and Procedures - F&S can help clients with updating or creating site policy and procedures to support the new F&S interpretation services and staff steps involved in the order and image and report distribution processes.

Support - After Go Live, clients will contact the dedicated F&S CSR (Client Support Representatives) who operate our call center as a first point of contact for all questions and needs.

Billing - The F&S billing model will vary based on the type of client. Billing adjustments and the appropriate form to be used will be reviewed during the implementation process.

Marketing - There are various marketing tools and programs available to the client’s marketing representative in order to educate their referrers about subspecialty radiology or F&S radiologists. Clients often use this opportunity to target new referrers because the F&S reports support their clinical interpretation needs very well. F&S can also create custom client marketing materials for a fee. F&S Marketing will also include the new client in a press release and potentially create a joint case study after a few months of service are completed. F&S distributes a newsletter on a frequent basis to keep clients abreast of the latest radiologists to join, IT user tips, and other useful news.

Evaluation - F&S is in close contact with the client to make sure everything is running smoothly, the client is satisfied and that all F&S follow ups and actions items are completed. F&S asks that the client also forwards feedback from the physicians on their level of satisfaction with the report quality.

Account Management - F&S has dedicated representatives that stay in touch with clients via phone, surveys and on-site visits to check on the level of quality of the report, consultations and services F&S is providing. Additionally, F&S proactively seeks any other suggestions to help the client with internal workflow or to increase physician satisfaction and referrals.
